Learn how to use invites to create QR codes and scan them on Brella Mobile App or an attendee's badge when your event is public or invite-only.

Intro
A QR code is attached to every invite you create for your event as an event organizer, but the scenarios change based on whether the event is public or invite-only. As an event organizer, you can use the unique QR codes of attendees for event check-in purposes.
Create QR codes with invites
- Go to the admin panel (manager.brella.io)
- Make your event invite-only by following these steps
- After that, navigate to the People tab, then Invites
- Create invites by following these steps.
- After creating invites successfully, export the list of invites as a CSV, and there you'll find a column with the title qr_string that will allow you to generate QR codes with a QR code generator.
π‘There are plenty of QR code generators on the internet. Use a reliable one and create individual QR codes by importing the list.
βThis feature is available only for hybrid and in-person events.
Scanning QR codes at Public & Invite-only events
- At public events: Sponsors and attendees can scan anyone's QR code from the Brella App AFTER they have joined the event in the Brella app. Pre-printing of QR codes on badges will not be possible if the event is public.
- At Invites-only events where only ONE seat is assigned per invite: Sponsors and attendees can scan anyone's QR code from the Brella App or a badge printed in advance. The scan result will vary depending on the invite status of the QR code scanned.
- If they are a sponsor/attendee, and the person whose QR code they are scanning has joined the event on Brella using the invite, then they will see that attendee (i.e. the Brella user) and be able to save them as a lead or connect with them.
- If the attendee is a regular event attendee, and the person they're scanning didnβt use the invite and is not on the app, then they can scan the QR code from the badge and will see the βAttendee not foundβ message.
- If they are a sponsor and the person theyβre scanning didnβt use the invite and is not on the app, then they can scan the QR code from the badge, and they will see the registrant details and be able to add notes only. The lead will not be saved as a prospect.
- At Invites-only events where multi seats are assigned per invite: Sponsors and attendees can scan anyone's QR code from the Brella App AFTER they have joined the event in the Brella app using the multi-seat invite. Pre-printing of QR codes will not be possible in this instance either since individual QR codes are NOT assigned for multi-seat invites at the point of invite creation.
If a person has joined the event using a multi-seat invite and someone scans their QR code from the Brella mobile app, the correct individual attendee details will be shown to the attendee/sponsor who is scanning despite the fact it is a multi-seat invite.
Individual QR codes are created within the Brella app after they join the event using the multi-seat invite. The scan result will be the same as for single-seat invites, depending on the invite status of the QR code scanned, as explained above.
